EarthGen creates science-based, action-oriented programs which ensure young people gain the knowledge, skills, and experience they need to become leaders for climate solutions and environmental justice. The organization partners with educators and K-12 school communities to facilitate youth-centered, collective solutions for a healthy planet.
EarthGen leverages Salesforce to help track, analyze and report on their programs’ data to measure their impact in the communities they serve. As part of their business processes the organization receives data files with program attendance information from multiple sources.
From Manual Data Upload Process to Streamlined Attendance Upload
Previously, EarthGen had a manual process to upload attendance data coming from various sources into Salesforce. Even though the process was well documented, it involved many manual steps that required staff to prepare csv files, copy and paste Salesforce Ids and look up records before uploading and linking the records together. The challenge was that this was prone to errors and resulted in incomplete or bad data getting uploaded, and therefore it deterred staff from keeping up with the uploads in a timely manner.
DaizyLogik worked with EarthGen to analyze the process and come up with a csv file template that could be used across all attendance files regardless of where they come from. The file would contain human readable information about the attendees. With this, DaizyLogik designed a Lightning Web Component to ingest the file, process the data and create the attendance records. The user interface allows staff to select the Event and specific Engagement or Engagements for which they wish to upload data. For improved usability, the Upload component provides feedback on the correctness of the file about to be processed making sure it matches the expected format. This ensures better data quality and gives staff the ability to correct any issues before the upload.
Once the file has been validated, the file processing engine automatically matches Attendees, School and District information against the database and creates new Contacts and Accounts only as needed, reducing duplication of data.
Now that the EarthGen team has had a chance to use the upload tool for a while, it is evident that the new process is an easy, efficient way for them to upload attendance data following an event.
